Tony’s Fine Foods Implements DataBank’s Enterprise Content Management Solution
Sacramento, CA (PRWEB) July 17, 2013 -- Tony’s Fine Foods of West Sacramento, CA selects DataBank, a leading Systems Integrator specializing in Imaging, Workflow, and Enterprise Content Management (ECM), to deploy OnBase and ReadSoft as its solutions for Accounts Receivable invoice reconciliation.
Established in 1934, Tony’s Fine Foods continues as a family-owned business distributing quality products from many of the regions’ finest food manufacturers and worldwide specialty producers to an extensive business clientele from Seattle down to San Diego and as far East as Idaho. When Tony’s manual Accounts Receivable process became too intensive and time‐consuming to handle, they turned to a paperless software solution for the answer.
“Many companies don’t realize how much easier their Accounts Receivable process can be,” said DataBank’s Vice President of Software Solutions, David Godiksen, “Tony’s Fine Foods implemented the ECM and advanced capture technology to minimize the manual data entry with posting thousands of invoices to their ERP system. Originally this manual process could take an entire day for their staff. The new automated process provides considerable productivity increases across the departments with daily tasks that are now measured in minutes, not days.”
Tony’s Fine Foods was manually processing thousands of invoices to their Retalix ERP system weekly, reconciling received checks with invoice line items. The data entry was time consuming and subject to human error. After an extensive search for a software solution, DataBank prescribed Tony’s an invoice capture and workflow solution that would automate the reconciliation of received funds. This intelligent capture technology allows paper documents and business information to be transformed from virtually any source and integrated into any financial applications. Now, once a check is scanned, it’s verified through ReadSoft and pushed to the OnBase workflow which outputs a file that can be uploaded to Tony’s Retalix ERP system.
" We increased our efficiency in Accounts Receivable and are now able to reallocate our staff’s time to focus on more revenue‐generating tasks,” said Martha Lopez, Accounts Receivable Supervisor for Tony’s Fine Foods, “This type of transformation in our industry is hugely impactful and allows us to handle increased workloads without a significant increase in new headcount”.
Tony’s Fine Foods started in the Accounts Receivable department with ReadSoft instead of the traditional Accounts Payable path chosen by most of their peers. The combination of ReadSoft for capture and OnBase for Enterprise Content Management shortened reconciliation and processing time for both the Accounts Receivable and Accounts Payable departments. This has brought the Tony’s team enhanced productivity, increased customer satisfaction, and accountability for compliance.
As far as Enterprise Content Management strategy, Tony’s has begun planning future expansion. Though Tony’s main pain point was the financial AR and AP process, the CIO is exploring the use of OnBase for their lockbox, paperless warehouse and documents storage initiatives.
